  • During CloudSuite implementations in the past, several clients have asked us to bring all of their historical data over to the new system. Obviously this is possible, but it's definitely not our recommended best practice. You can bring as much data as you want, whether the cost/benefit makes sense. If you bring over every piece of data from your old system just in case of a potential reference someday, then you’re just muddying up the reporting waters. We always have this conversation as part .....

  • When it comes to AP automation solutions, there are a variety of options available to choose from. Some of these are cloud-hosted software, which is not necessarily the same as cloud-native, and requires additional administration that your organization may not have expertise in. A lot of these applications were written for client server-based architecture, meaning that larger software companies are basically hosting their legacy systems in the cloud, which is not ideal.

The same careful attention should be applied to any customizations, as well as any big-ticket reporting or analytics needs that are mission critical. Hopefully, these will be out-of-the-box from CloudSuite, but you want to understand the implications if you're going to need to work through them during the project.

The first step is knowing exactly what this project entails, such as ensuring you have the right budget, understanding the requirements of a payroll implementation, what resources you will need, as well as a typical project timeline. These projects revolve largely around the technical development, which is always one of the most challenging parts for our clients. This is partially due to the differences between interfacing with a legacy system and a cloud-based program, but also to the impact is has on daily business processes.

In the case of a payroll that is currently open and calculating payments that are in error, there are no off cycle payrolls in process. There are some quick links to deduction alerts, BSI tax alerts, and tax errors. It also has some deduction e.....

Bringing on a new project and new tool to use new software to use can be quite scary. That is why it is so important to have an awareness of that when you are rolling something out that’s new to people.

When we talk about change management and accepting the business processes, there must be a reasonable balance between understanding those new processes and accepting them.

Obviously, this should start with a look at your internal change management capabilities. Some organizations have well-developed internal OCM experts, some do not. • Barbie Hunley: The fifth item we’d like to address about business processes during a CloudSuite implementation is getting them finalized on time. This is relevant for so many reasons, one being that when we enter into design, we don't want to get to UAT when we should be accepting the system and someone tells us there was a last-minute pay structure change. Whenever that happens, we need to incorporate that as soon as possible.

  • A large amount of our customers have been on Lawson for many years, which is another big factor in these pre-planning engagements and projects in general. This familiarity means they've developed very sophisticated flows, integrations, and extensions, so they're concerned about how those are going to migrate forward into CloudSuite. Today we’re going to explain what that effort and future state might look for a client in this situation. This part is actually a big component in t...

  • Today we’re going to discuss the project scoping and approach. We begin with some as-is discovery where we're really focused on understanding how this organization has made use of Lawson, or potentially other third-party systems whose functionality will impact the move to CloudSuite. This action is always taken with an eye on practical scoping, so it's not a full-blown optimization assessment. We're really honing in on those details that are pertinent to the work effort and pla...

  • A question we often get from clients who are looking to implement CloudSuite is what should an organization do to prepare for an RPI pre-planning event? While I think it’s the same as planning for an engagement, there are basically two things to consider. The first is that the better you both understand and document your current processes and pain points, the better you can articulate them to a consultant. This way we already know what you’re looking to achieve from the beginning ins...

  • Let’s walk through RPI’s offering for a pre-planning engagement. It's a highly structured four-to-eight week engagement, meaning that we know what meetings we need to hold, we know the timeline, and we have a project plan coming into it. Customers tend to have a bit of uncertainty around the timeline and the potential outcomes, so they can convey some follow up activities around that information. A combination of workshops, stakeholder...

The objective is clear, you want to climb to the top of the mountain. But that’s the easy part—how are you going to make that happen? Would you attempt this expedition on your own? Probably not. Why? Because the risks are too high; maybe even fatal. You know you’re not the first one who’s set out to achieve this ...
